GRO Certificates Explained

What Is a GRO Certificate — and Why Do You Need One?

A GRO certificate is an official certified copy of a civil registration record held by the General Register Office — the government body responsible for recording births, marriages, civil partnerships, and deaths in England and Wales. GRO certificates are the only version of these documents that carries the registrar’s original signature and is accepted by the FCDO for apostille. If you need a GRO certificate apostille UK — whether for marriage abroad, a citizenship application, or international visa — the process starts here: obtaining the correct GRO-issued document before it can be legalised.

Many people discover they need a GRO certificate only when a foreign authority or solicitor rejects the document they already have. Hospital-issued birth notifications, laminated certificates, photocopies, and solicitor-certified copies all fail the FCDO apostille test — because the FCDO must apostille an original registrar signature on an official GRO-issued document. A replacement GRO certificate resolves this immediately.

Who Needs a GRO Certificate?

The most common reasons clients come to us for GRO certificates include: applying for citizenship by descent (Italian, Irish, German, and other EU nationalities frequently require a chain of apostilled GRO birth and marriage certificates), marriage abroad (Spanish, Italian, and many other authorities require a long-form birth certificate with FCDO apostille), overseas adoption dossiers, spouse and family visas, probate and inheritance matters in foreign courts, and employment documentation for work in the UAE, Saudi Arabia, Qatar, and other non-English-speaking countries.

GRO Certificate + Apostille — The Full Process

Once we obtain your GRO certificate, it goes directly to the FCDO for apostille as part of the same order — no need to coordinate two separate services. Our City of London location means same-day FCDO submission is available. For non-Hague Convention countries (such as China, UAE, and Egypt), we also handle the full embassy legalisation chain after the apostille. If a certified translation is required — for Spanish, Italian, Arabic, Mandarin, or any of the 40+ languages we cover — that is arranged in parallel, so you receive one complete, country-ready document package.

All our GRO certificate applications are submitted on a priority basis — approximately 72 hours from submission. No GRO account is required from you at any stage. Simply send us your certificate details or a scan of your existing document and we handle everything.

Frequently Asked Questions

GRO Certificate Replacement — Common Questions

A GRO certificate is an official certified copy of a birth, marriage, civil partnership, or death registered in England and Wales, issued by the General Register Office. You need one when your original certificate is lost, damaged, or when authorities require a recently issued official copy — for example for FCDO apostille, passport applications, visa applications, marriage abroad, or citizenship claims.
We only offer priority processing — replacement GRO certificates are returned in approximately 72 hours (3 working days) from the day we submit your application. Applications received before 2pm on a working day are submitted to the GRO the same day. Note: the GRO’s own standard public service can take up to 1 month — priority is the only option we provide, so every client gets the fastest available turnaround.
No — you do not need a GRO account. We handle the full application on your behalf as a registered business customer. Simply provide us with the certificate details or a copy of the existing document, and we manage the rest. No forms to fill in, no portal to navigate.
Yes. If you don’t have a copy of the original, we can search the GRO register using the event details — full name, approximate date, and place of the birth, marriage, or death. Once we locate the record, we submit the certified copy application. Providing even a scan or photograph of the original speeds up the search, but it is not essential.
Yes — this is one of our most commonly requested combined services. We obtain the priority GRO certificate and then submit it directly to the FCDO for apostille as a single end-to-end process. This is ideal for clients who need an apostilled birth or marriage certificate for use abroad but no longer have the original. Contact us for a combined price and turnaround quote.
A short-form birth certificate shows only the child’s name, date, and place of birth. A full long-form certificate also shows the parents’ names, occupations, and other registration details. Most foreign authorities — particularly for marriage abroad, citizenship claims, and visa applications — require the full long-form certificate. We advise on which version your destination authority requires before we submit the GRO application.
Our GRO service covers births, marriages, civil partnerships, and deaths registered in England and Wales only. Scotland’s civil registration records are held by National Records of Scotland (NRS), and Northern Ireland’s by GRO Northern Ireland — these are separate registries. We can advise on obtaining certificates from these registries if required — contact us for guidance.
