What You Need Before We Start
Getting the right documents in place matters. We check at every stage — but it helps to know what’s required before you send anything.
You Need an Official GRO-Issued Birth Certificate — Not a Photocopy or Hospital Certificate
The FCDO can only apostille the original registrar’s signature on a GRO-issued birth certificate. Hospital-issued birth notifications, photocopies, and laminated certificates are all rejected. If you’ve lost your original, we can order a replacement from the GRO at £60 — no GRO account is required and processing time is 72hrs.
🔄 Two Stages — Both Required for Vietnam
Vietnam is outside the Hague Convention. This means a UK birth certificate needs both an FCDO apostille AND Vietnamese Embassy authentication before it can be used in Vietnam. Neither stage is optional. We co-ordinate both stages end-to-end so you don’t have to manage them separately.

For marriage registration and other personal purposes, the Vietnamese authorities typically require the full long-form birth certificate (showing parents’ details), not the short-form. We confirm which version is required for your specific purpose before you order a replacement from the GRO.
📅 Processing Times — Plan Ahead
The standard end-to-end service takes up to 2 weeks: 2–3 working days for the FCDO apostille, then 1 week at the Vietnamese Embassy. Express options are available, but if you have a deadline — such as a Vietnamese wedding date — contact us early so we can plan the fastest route.

Vietnam has not signed the 1961 Hague Convention, which means the FCDO apostille alone is not sufficient for documents used there. A standard apostille is accepted in over 120 Hague Convention countries — but for Vietnam, an additional authentication stamp from the Vietnamese Embassy in London is required. The correct sequence is: (1) FCDO apostille, then (2) Vietnamese Embassy authentication. We manage both stages end-to-end from our City of London office.
